Billing and subscriptions
Plans
Playflow offers Trial, Harbor, Marina and Fleet. See Pricing for current prices, capacities and included features. Open Settings > Billing to review your workspace's plan, billing interval, usage, invoices and payment status.
Your 14-day trial
A new workspace starts with a 14-day trial without a payment card. Your selected paid plan is saved as the intended plan, not proof of payment. The Playflow watermark is optional during the active trial. After it ends, the watermark is required until effective paid access is active.
Checkout and trial conversion
Members of the built-in Owners group can start checkout and manage self-service billing. Workspace-management permission alone is not billing authority. Checkout shows the chosen plan and interval before payment. Leaving checkout without paying does not activate a paid subscription or end an active trial. Successful paid activation clears the unpaid phase.
Changing plans
An owner previews a plan or interval change before confirming it. Every downgrade and every annual-to-monthly change waits until the current paid term ends, including an annual-to-monthly change to a higher plan. Other upgrades and equal-or-higher monthly-to-annual changes take effect immediately with the provider's proration. A scheduled downgrade does not refund unused time.
If a change is already scheduled, review and explicitly confirm its replacement. Previewing a replacement does not cancel the existing schedule. A changed subscription or expired quote requires a fresh preview before confirmation. Do not assume a new plan is active while a change is still pending or has failed.
AI caption minutes
Harbor has no AI-generated caption minutes. Marina and Fleet include monthly allowances; see Pricing. Billing shows successful generation usage. An in-progress reservation is not a completed charge, and failed generation does not count as successful usage.
Invoices and paid receipts
Billing shows invoice status, date, amount and currency. When the provider supplies an invoice PDF, you can download it. Invoice details separate the invoice calculation from payment settlement: invoice lines, discounts and taxes determine the invoice total, while recorded account credit and payments explain how it was settled. Current plan prices do not rewrite historical invoices.
Updating a payment method
An owner can open the secure billing portal from Billing to add or replace the payment method. Saving a card is not itself successful subscription payment.
Canceling and resuming
Cancellation is scheduled for the end of the paid period. Paid access continues until then, and an owner can resume before that date. When the subscription ends, the workspace records a new 14-day payment grace period and retains the previous paid plan as its intended plan. A saved card does not exempt an ended subscription from this lifecycle.
Where unpaid-policy enforcement is active, this cancellation grace uses trial limits, then becomes read-only. Continued nonpayment can later pause playback and make content eligible for deletion at the account's configured thresholds, with lifecycle notices. Where enforcement is off, Billing still shows the recorded phase but this policy does not restrict access. Starting and successfully paying a new subscription clears the unpaid phase and restores paused playback; already deleted media cannot be restored by payment.
Workspace discounts
Customers can enter a promotion code in Checkout unless a workspace discount is already applied. Checkout does not offer manual promotion-code entry alongside a pre-applied discount. The provider determines eligibility and final invoice totals; a referral or campaign link does not guarantee redemption.
Failed payments and 14-day grace
Failed subscription payments show a grace deadline in Billing. An owner should update the payment method and resolve the unpaid invoice. Follow the workspace's displayed billing state; an updated card alone does not establish that a failed invoice was paid. After grace, an unresolved past-due subscription becomes read-only. Unpaid-policy enforcement controls later playback-pause and deletion steps.
Trial expiry
An unpaid trial has a 14-day payment-grace period after its end. Selecting an intended paid plan is not proof of payment. If payment is not completed, the workspace can become read-only after grace. Later playback-pause and deletion steps require unpaid-policy enforcement. Follow the phase and notices shown in Billing; the ended-subscription enforcement exception above does not promise unrestricted access for every other unpaid billing state.
Managed by Playflow
Some workspaces have a plan managed by Playflow rather than a self-service subscription. Billing shows the assigned plan and offers Contact Playflow instead of self-service plan changes. Managed paid assignments grant the assigned paid access; an explicitly unpaid assignment does not. These managed workspaces are exempt from the ended-subscription lifecycle described above. Contact the team to change an assignment.
